Work with local data
Core contact management works offline using the local database. Avoid manually changing the application’s internal data folders.
Local storage makes your own backup routine important. Keep a secure copy separately from the working computer.
Default locations and Windows accounts
The default CRM database is under your Windows account’s LocalAppData folder. Copied contact files are in Documents → Harpiyo CRM → Contact Files.
Another Windows account normally uses separate CRM data. Check the account and computer you are using if expected contacts are missing.
There is no Settings control for moving the database. Avoid manually changing internal data folders; contact support if you need help with a storage problem.
Understand external actions
Microsoft Store downloads and updates need internet access. Email, telephone and file actions use your configured Windows application.
Name and address actions open Google Search or Google Maps with the selected value. Support diagnostics are sent only when you choose to share them.
Managed copies and linked files
Copy into Contact Files folder creates a managed copy. Copied files are normally stored in Documents → Harpiyo CRM → Contact Files.
Link to existing file location references the original. Moving or removing that file may break the link.
Backups include managed Contact Files. External linked or custom-location files are not copied; protect them separately.
Linked files follow their existing locations. Any synchronisation of your Documents folder follows Windows and the services configured on your computer.
Moving between computers
Automatic cloud synchronisation is not provided. A backup can preserve and restore data but is not a live shared database.
Contacts from another computer or Windows account do not automatically appear. Before moving, keep a backup and copies of linked files.
Share information deliberately
Keep your Windows account and backup storage secure. CSV exports and backup ZIPs contain CRM data; avoid sending a backup when only diagnostics are needed.
