Using Activities and Calendar

Harpiyo CRM includes activities and a calendar to help you keep track of important work.

Create a task, reminder or event

Start in: Contact → Activities → Create Activity; or Calendar → Create Activity

  1. Choose Task, Reminder or Event and enter Title.
  2. For Task or Event, enter the start and end dates and times, or choose All day. For Reminder, enter its date and Alert Time.
  3. Add Description and choose a Recurrence if needed.
  4. Review the linked contacts; an activity created from a contact begins linked to that contact.
  5. Select Create Activity in the editor. Correct any validation message before trying again.

Result: The activity is saved and can appear in the calendar and linked contacts' Activities views.

  • Reminder has an alert time rather than start/end duration fields.
  • Cancel closes the activity draft without saving it.
  • Exact date hints follow the chosen date format and activity type.
  • An activity can be independent or linked to one or more contacts.

Choose when a task or event alerts you

Start in: Task or Event editor → Notify me

  1. Choose a preset such as 15 minutes before, or choose Custom.
  2. For Custom, enter a whole number greater than zero and choose minutes, hours or days.
  3. Read the displayed notification preview and correct any warning or validation message.
  4. Save the activity.

Result: The activity stores the chosen notification lead time; recurring activities use it before each occurrence.

  • The default is 15 minutes before.
  • Notify me is for Task and Event; Reminder uses its own alert date and time.
  • Tasks and Events alert at the chosen lead time and at their start. Reminders alert at their set time.

Set up a repeating activity

Start in: Activity editor → Recurrence

  1. Choose Daily, Weekly, Monthly or Yearly, or None for a single activity.
  2. For recurring Task or Event, set the start and end dates for the series and the times for one occurrence.
  3. Review Notify me before each occurrence when applicable, then save the activity.
  4. Check an occurrence in the Calendar.

Result: The series is projected into occurrences on the relevant calendar days.

  • For recurring Task/Event, the date range is the series range; clock times describe each occurrence.
  • Recurring Reminders continue without a series end date.
  • Opening an occurrence in Calendar edits the authoritative series, rather than an independently stored copy of that occurrence.

Review a day in the calendar

Start in: Calendar

  1. Use the month selector and calendar navigation, or select a day cell, to choose a date.
  2. Show or hide Tasks, Reminders and Events using the Activity Types controls.
  3. Read the Day Summary and inspect the selected day’s activity timeline.
  4. Open an activity to edit it, select a linked contact to open that record, or choose Create Activity for the selected day.

Result: The selected day displays the matching activities and counts.

  • The calendar shows activities for the selected day. Week and month activity views are not currently available.
  • No activities scheduled may reflect the selected date or type filters. Check the date before creating an activity.

Edit, complete or delete an activity

Start in: Contact activity card or Calendar activity

  1. Open the activity to edit its details and save the changes.
  2. For an eligible Task or Reminder, use the card's completion control to mark it done or reopen it.
  3. For an eligible non-recurring Task or Reminder, the editor also provides Mark as completed; save the edit to apply it.
  4. To remove an activity, use Delete in its editor, read Delete Activity? and choose Delete or Cancel.

Result: The saved activity state changes, or the activity is deleted after confirmation.

  • Tasks and Reminders support completion. Recurring items track completion separately for each occurrence.
  • Completing an occurrence stops its alerts while later occurrences continue. Do not use the non-recurring completion toggle to complete a whole series.
  • Events become past after their end and do not use the same mark-complete action as Tasks and Reminders.
  • Deleting an activity is different from dismissing a notification.
