How to Import Contacts from a CSV File

If your contacts are stored in a spreadsheet or another application, you can import them into Harpiyo CRM using a CSV file.

Prepare the file and review the plan

Import and merge choices can change existing data. Hard Merge can remove notes and clear empty or unmapped fields. Keep a current backup and check the field-by-field results before starting.

Save your source as a comma-separated UTF-8 CSV and check the headings and sample rows for names, dates and repeated contact details. Keep the original file unchanged.

Configure mapping and each date column’s format before analysing. Review matching fields, unexpected values and automatic decisions.

If you want to import note text, map the Notes column. A contact CSV does not recreate tags, activities or attachments and is not a full CRM backup.

CSV format, capacity and storage

Use a comma-separated CSV saved as UTF-8. Files with or without a UTF-8 byte order mark (BOM) are accepted.

No fixed total-file, row-count or column-count limit is configured. Practical capacity depends on your computer, available storage and the data being processed.

Harpiyo CRM checks disk space and may stop if it is insufficient. Free space on the CRM data drive, retain the active import workspace and resume from the available recovery controls.

Keep the original CSV and your backup. Do not remove the active workspace or manually replace database files to free space.

Start a CSV import and choose contact types

Start in: Import → Choose File

  1. Keep a current backup before importing into important existing data.
  2. Drag a CSV onto Choose an Import File, or select the area to browse for it.
  3. Wait for file preparation to finish and select Next: Mapping.
  4. Choose All rows are People, All rows are Organisations, or Decide each row using rules.
  5. For rules, set the CSV column, condition and result for each rule. Rules run top to bottom; arrange them deliberately and choose the no-match fallback.

Result: The wizard prepares a source copy and the selected Person, Organisation or mixed rules mapping.

  • Only .csv is supported by this UI.
  • Selecting or analysing the file does not commit contact changes; the actual import begins later.
  • Changing the contact-type choice resets the current mapping configuration.
  • Mixed rules require valid coverage and review for both Person and Organisation mappings before analysis.

Pause, resume and interrupted preparation

Pause Analysis saves analysis progress. Resume Analysis continues from that checkpoint, and saved review decisions remain in the workspace.

During import, Pause and Resume Import use database checkpoints. Committed rows are not repeated when you resume the same saved session.

If file preparation is interrupted, choose the CSV again. Use the recovery controls for the stage that was interrupted.

Stopping a partially completed import does not undo contacts already changed. Abort Import is available only before any rows have been committed.

Commit or resume an import

Start in: Review & Resolve → Continue to Confirm → Confirm Import

  1. Finish the review and select Continue to Confirm. If you deliberately leave unresolved rows, read and confirm the skip action instead.
  2. Review Planned changes and any Hard Merge warning in Confirm Import.
  3. Select Start Import to commit the reviewed plan.
  4. Use Pause when needed. Return to Import and select Resume Import to continue a paused or interrupted execution from its saved checkpoint.
  5. At Import Complete, inspect the counts and Skipped or failed rows requiring attention before selecting Start Another Import.

Result: The reviewed changes are committed in recoverable batches; completed rows are not repeated when resuming the same session.

  • While analysis or execution runs, other CRM screens are unavailable. Pausing allows browsing, but editing remains disabled until the import finishes or is abandoned.
  • Resume the same saved session rather than starting the original CSV as a fresh import.
  • Pause is not rollback: rows already committed remain changed.

Change a paused mapping or abandon an uncommitted import

Start in: Paused Mapping or an import with no committed rows

  1. To change a mapping with a paused analysis checkpoint, choose Abort Analysis & Change Mapping.
  2. Read the confirmation: saved analysis, staged matches and review progress are discarded while the current mapping is retained and unlocked.
  3. Change the mapping and analyse it again.
  4. To discard an import with no committed rows, use Abort Import and read its confirmation before proceeding.

Result: Analysis can be restarted with a revised mapping, or an uncommitted import can return to Choose File.

  • Abort Import deletes the selected source copy, mappings, staged rows, decisions and progress for that session, not the original CSV.
