How to Add and Manage Contacts in Harpiyo CRM

Contacts are at the centre of Harpiyo CRM.

Quickly add a person

Start in: Contacts → Add Contact → Quick Add Contact

  1. Choose Person.
  2. Enter First Name. Last Name, Phone and Email are optional in Quick Add.
  3. Select Save Contact.
  4. Find the new person in Contacts and select their result row to open the contact.

Result: A person record is saved without requiring the full contact form.

  • Save Contact is disabled until First Name has a value.
  • Quick Add and the full form have different validation: the full person form requires both First Name and Last Name.

Quickly add an organisation

Start in: Contacts → Add Contact

  1. Choose Organisation in Quick Add Contact.
  2. Enter Organisation Name and any Phone or Email you already know.
  3. Select Save Contact.
  4. Select the organisation in Contacts to open its record.

Result: An organisation record is saved; its remaining details can be entered later.

  • Organisation Name is required. Phone and Email are optional.

Create or edit a full contact record

Start in: Quick Add Contact → Open full form instead; or an existing contact → Edit

  1. For a new record, choose the contact type and select Open full form instead. The details already entered are transferred to the full form.
  2. For an existing record, open its result row in Contacts and choose Edit.
  3. For a person, enter First Name and Last Name, then any title, nickname, organisation, job title or date of birth. For an organisation, enter Organisation Name, then any legal name, registration number, incorporation details, industry and contact-person names.
  4. Add the relevant contact details and correct any fields reported in the validation summary.
  5. Select Save Contact. Select Cancel to leave the draft without applying it.

Result: The record changes are stored and the read-only contact display returns.

  • The full person form requires First Name and Last Name; the organisation form requires Organisation Name.
  • If Contact changed elsewhere appears, the edit was not saved. Close and reopen the contact to review the latest values before trying again.

Understand and confirm contact deletion

Start in: Saved contact → Delete contact

Deletion is irreversible in this interface. Keep a backup if you may need the contact or its notes again.

  1. Open the saved contact and keep a backup if you may need its data or notes again.
  2. Select Delete contact and review the deletion summary.
  3. Check the notes, file references and activity links that will be removed, and the physical files that will be retained.
  4. Confirm Delete Contact only when the summary matches your intention; otherwise choose Cancel.

Result: The contact and its notes/file references are removed after confirmation. Activities and physical files are retained.

  • Deletion has no Undo. Activities remain without this contact link, and physical files are retained.
  • An earlier backup can recover data it contains, but restoring replaces the whole CRM database and managed files rather than recovering just one contact.
