Managing Person Contacts

Person contacts help you keep information about individual people in one place.

What a person record can contain

The full form includes names, title, nickname, organisation, job title and date of birth. Add contact details, notes, files and activities when useful.

Quick Add needs First Name. The full person form requires First Name and Last Name. Other details can be added as they become available.

Record an employment organisation

Enter the organisation name as text in the person’s Organisation field. This does not create an Organisation contact or link the person to one.

Create an Organisation contact separately if you want the business to have its own record.

Quickly add a person

Start in: Contacts → Add Contact → Quick Add Contact

  1. Choose Person.
  2. Enter First Name. Last Name, Phone and Email are optional in Quick Add.
  3. Select Save Contact.
  4. Find the new person in Contacts and select their result row to open the contact.

Result: A person record is saved without requiring the full contact form.

  • Save Contact is disabled until First Name has a value.
  • Quick Add and the full form have different validation: the full person form requires both First Name and Last Name.

Create or edit a full contact record

Start in: Quick Add Contact → Open full form instead; or an existing contact → Edit

  1. For a new record, choose the contact type and select Open full form instead. The details already entered are transferred to the full form.
  2. For an existing record, open its result row in Contacts and choose Edit.
  3. Enter First Name and Last Name, then any title, nickname, organisation name, job title or date of birth you know.
  4. Add the relevant contact details and correct any fields reported in the validation summary.
  5. Select Save Contact. Select Cancel to leave the draft without applying it.

Result: The record changes are stored and the read-only contact display returns.

  • The full person form requires First Name and Last Name. The Organisation field is text, rather than a link to an organisation record.
  • If Contact changed elsewhere appears, the edit was not saved. Close and reopen the contact to review the latest values before trying again.

Add several emails, phone numbers and websites

Start in: Contact → Edit

  1. Expand EMAIL ADDRESSES, PHONE NUMBERS or WEBSITES as needed.
  2. Select Add Email, Add Phone or Add Website for each additional item.
  3. Choose or enter a type for the item and enter its address, number or URL. Phone entries have Country Code, Number and Ext. fields.
  4. Remove any draft item you do not want using its remove control.
  5. Select Save Contact to commit the edited lists.

Result: The contact can show more than one typed entry for each contact detail.

  • An item removed in the edit form becomes a saved removal when Save Contact succeeds.
  • CSV export includes contact details but is not a full backup.
